Creating Bills in Tofu

In Tofu, you can easily create invoices by uploading files directly or syncing them from your cloud storage. When new files are added to Tofu, the system automatically processes them to create invoices. Here's how it works:

1. Uploading or Syncing Invoice Files

  • Upload Directly: You can upload invoice files directly into Tofu.

  • Cloud Storage Sync: If your files are stored in cloud services (like Google Drive or SharePoint), Tofu can sync with these services. Every time a new file is added to your connected cloud storage, Tofu automatically retrieves the file.

2. Automatic Invoice Extraction and Creation

  • Single Invoice File: If the uploaded or synced file contains a single invoice, Tofu will automatically extract the relevant data from the file and create an invoice in Tofu.

  • Multiple Invoices in One File: If a file contains multiple invoices, you have to split the invoices first.

3. Publishing the Invoice to QuickBooks

Once an invoice is created in Tofu, it will be synced to QuickBooks based on your Auto-Publish settings.

  • Auto-Publish ON: Tofu will automatically create the bill in QuickBooks with a link to the original invoice in Tofu.

  • Auto-Publish OFF: users will need to click the Publish button to create the bill in QuickBooks. After publishing, a link to the QuickBooks bill will be available in Tofu.

Editing Invoices in Tofu

If you need to make changes to an existing invoice in Tofu, the process is simple.

  1. Navigate to the bill you want to edit in Tofu.

  2. Make the necessary changes.

  3. After saving your changes, the bill will be updated in Tofu.

  4. Once you’ve edited an invoice, the changes will sync to QuickBooks based on your Auto-Publish setting.

    • Auto-Publish ON: If Auto-Publish is enabled, the edited invoice will automatically be published to QuickBooks once you click save draft.

    • Auto-Publish OFF: If Auto-Publish is disabled, you’ll need to manually click the Publish button to push the updated invoice to QuickBooks after clicking save draft.

💡 You can easily check whether all changes have been updated to QuickBooks by looking at the Publish Status in Tofu. There are three possible statuses:

  • Published: All changes have been successfully published to QuickBooks.

  • Edited After Publish: A new edit has been made in Tofu, but it hasn't been updated to QuickBooks yet.

  • Publish Error: The recent publish attempt failed. You can try re-publishing the invoice.


Syncing Invoice Changes from QuickBooks

To keep Tofu and QuickBooks in sync, any updates or changes made in QuickBooks can be pulled and reflected in Tofu.

  • When Auto-Import is ON, Tofu will automatically pull updates from QuickBooks, ensuring your Tofu invoices reflect any changes made in QuickBooks.

  • When Auto-Import is OFF, you will need to manually click the Import button to retrieve changes from QuickBooks
