Using Tracking Categories (Tags) with Xero Integration in Tofu

Learn how to sync Xero categories with Tofu, extract bills, and push them to Xero as drafts with tags included.

1. Integrate Xero with Tofu

Before anything else, make sure your Tofu app is connected to Xero.

2. Confirm Categories (Tags) Are Synced

  • Go to: Entity (integrated with Xero) > Settings (top right) > Accounting > Tags

  • If your Xero categories are listed here, you’re good to go.

  • If not, click “Sync” to pull them in from Xero


3. Upload, Extract, and Save Bills as Drafts

  • Upload your invoice or bill file in Tofu

  • Extract the document

  • Manually assign the correct categories (tags)

  • Click “Save Draft” (and "Publish" if the auto-publish is off)


4. Review in Xero

  • The bill will appear in Xero as a draft

  • It will include the same categories/tags and details as saved in Tofu


Quick FAQ – Syncing Category Changes

Q: What happens if I delete a category in Xero and then save or approve it in Tofu?
A: If Auto-Sync is turned ON, any changes made in Xero will automatically sync back to Tofu. This includes re-selecting, renaming, deleting, or adding category names.

Tip: If the change doesn’t appear immediately, go to Settings > Accounting > Tags in Tofu and click “Sync”. This will update the list, removing deleted categories or adding new ones so your transaction columns remain accurate.
