Set Up Accounting Data with Tofu AI (Accounting v2)

Upload any CSV or Excel export from your accounting software and let Tofu AI map it to your accounting settings automatically. No templates, no reformatting.

⚠️ Important:
This is an early feature. Accounting v2 is currently waitlisted. Contact support team or send an email to [email protected] to get it enabled for your organization.

This feature is for non-integrated entities only. If your entity is already integrated with an accounting software (e.g. Xero, QBO, Zoho), your accounting data syncs automatically from that software, so this upload flow doesn't apply to you.


Step 1: Navigate to Accounting

  1. Go to Entity Settings ⚙️.

  2. Select Accounting.


Step 2: Upload Your File

You'll land on the "Set up your accounting data, automatically" screen.

  1. Select which accounting software your export is from using the Which accounting software is this for? dropdown.

  2. If your software isn't in the list, select Other and type the name in the field that appears.

  3. Drag and drop your file into the upload area, or click Upload Files.

  4. Supported formats: CSV and XLSX, up to 20MB.

💡 Tip: Don't have a clean export? Old spreadsheets and historical records work fine too, no need to tidy them up first.

Prefer not to use Tofu AI? Click Set up manually at the bottom of the screen to enter data yourself instead.


Step 3: Review Tofie's Mapping

Tofie reviews your data one type at a time, moving through Tax Rates → Accounts → Currencies → Contacts → Items → Tags. For each tab, it explains what it mapped on the left panel, and shows your data on the right.

  1. Review the mapped data on the right.

  2. Red cells mean required data is missing. Fill it in, or re-export your file with that data included. The red clears once it's filled in.

  3. Yellow cells are values Tofie generated for you (like a derived account type, or a sequential code). Review these for accuracy.

  4. If a data type is missing from your file entirely, Tofie shows it under Skipping data on the left panel. Click Show me how to find this data, and Tofie researches your specific accounting software to build a step-by-step export guide. Re-upload your file once you have the data, and mapping runs again automatically.

  5. Click Accept to confirm and move to the next tab. A checkmark appears once a tab is complete.

💡 Tips:

  • The sheet works like a spreadsheet. You can add, edit, or delete rows, sort, filter, or search, the same way you would in Excel or Sheets.

  • For checkbox columns (like marking contacts as Customer or Supplier), click and drag across multiple cells to check them all at once, instead of clicking one by one.

  • Uploading a transactional export (like an invoice listing) often repeats values across rows. Tofu deduplicates these automatically.

⚠️ Note: Clicking Back to upload or uploading a new file mid-review discards your current review and any edits. Add missing data directly to the sheet instead of re-uploading if you can.


Step 4: Save Your Data

Once you've reviewed and accepted all six tabs (Tax Rates, Accounts, Currencies, Contacts, Items, Tags), click Save on the last tab.

Your data is added directly into Accounting, under the matching tab.

From here, your data works exactly like anything entered manually. You can search, edit, archive, or import more using the Import, Import from entity, or Add buttons on each tab.


🔑 Quick Tips

  • Upload your raw export as is. No need to match it to a template first.

  • Watch for red and yellow highlighting. Red means missing data, yellow means Tofie filled it in for you.

  • Review and click Accept on each tab before moving to the next.

  • Uploading a new file mid-review replaces your progress, so add missing data to the sheet instead if you can.

  • Prefer full manual control? Click Set up manually from the upload screen instead.
