Q: Are there any limitations?
A: Like any AI, it depends on the quality of the content you upload. Some complex cases may need review.
Q: Can I still create or edit bills in Tofu if the date is locked in Xero?
A: Yes! You can still create and edit bills in Draft within Tofu, even if the date is locked in Xero. However, you won’t be able to approve those bills as actual transactions in Xero (e.g., move them to Awaiting Payment or Paid) until the lock is removed.

Q: Do I need to train the AI?
A: No training needed to start. It follows basic accounting rules. But if you customize it with your own style, it learns and gets better over time.
Q: What file types can I upload?

Extraction Counting
Q: What is considered an entry? How about if it has multi-page documents?
A: Each unique bill or invoice that is extracted counts as one entry, regardless of the number of pages. A multi-page invoice is still counted as one entry.
Q: If I re-extract the same invoice multiple times, does that count as multiple entries?
A: No, we only count each invoice once, no matter how many times you re-extract it. We encourage re-extraction during training to improve accuracy.
Q: If a single PDF contains 10 invoices that need to be split, does that count as 1 or 10 entries?
A: This counts as 10 entries. Each distinct invoice inside that PDF counts individually, whether you split them yourself or use our tool.
Q: Do documents I upload but don't process count toward my limit?
A: No, uploads that are not processed do not count. Only invoices that have been extracted successfully at least once count as entries.
Q: For the starter plan, is it 300 entries/month shared across all 10 entities or 300 per entity?
A: The 300 entries/month are shared across all entities. It's a total monthly allocation, not per entity.

Q: How does the billing cycle work? If I subscribe on the 15th, when am I billed?
A: All subscriptions are billed on the 1st of each month. If you subscribe mid-month (e.g., the 15th), you pay the full monthly price and get the full entry allocation immediately. Your next billing will be on the 1st of the following month.
Q: When exactly does the entry counter reset each month?
A: Your entry count resets on the 1st of each month (calendar month), regardless of when you initially subscribed.
Q: If I upgrade mid-cycle, how much am I charged?
A: You pay only the price difference between plans for that month. For example, upgrading from Starter ($29) to Pro ($79) costs an additional $50. You get immediate access to the higher entry limit (e.g., from 300 to 800 entries).
Q: Do unused entries roll over to the next month?
A: No, unused entries do not roll over. Think of it like a retainer - we reserve that capacity for you each month, whether you use it all or not.
Q: What happens if I exceed my entry limit mid-month?
A: New documents will be held in "pending" status and won't be extracted. You can still edit and work with all previously extracted entries. To process pending documents, you'll need to upgrade your plan.
Q: What happens when I downgrade my plan?
A: You keep your current entry limit and pricing until the end of the month. On the 1st of the following month, both your limit and subscription price will decrease to the lower tier.
Q: Can I set up auto-upgrade to prevent service interruption?
A: This feature is coming soon but not currently available. You'll need to manually upgrade when approaching your limit.
