When to Use Snippets
Use snippets when you have:
📸 Multiple receipts photographed in a single image
🧾 Several invoices placed side-by-side that were captured together
You can crop these out yourself, or turn on Auto Snippet to have tofie find and suggest the crops for you.
Option 1: Let tofie AI Suggest Snippets
Important: Auto Snippet needs Document Preprocessing enabled for your organization first. Email [email protected] or contact in-app support to get it enabled for you.
Once that's on, you can switch on Auto Snippet directly from Entity Settings → Features, whenever you're ready.
Document Preprocessing also straightens rotated, skewed, or upside-down pages automatically before tofie reads them, there's nothing to turn on for that. If a page has multiple receipts, each one is straightened on its own, so a snippet cropped from an upside-down photo still comes out upright.
Once Auto Snippet is on, a page with more than one receipt or invoice is flagged in Source Documents with a yellow banner, "X page(s) in this document needs snippet review," and a Review button. Click it (or the page itself) to open the review screen.
If Auto draw snippet boxes with AI is on
The page is labeled Suggestion, and tofie draws a dashed box around each item it finds.
With Move to extraction set to Hold for Review, the review screen waits for you, and you can:
Ignore: discard the suggested boxes without creating any snippets
Draw Manually: crop the items yourself instead
Improve: ask tofie to redraw the boxes more precisely. Takes a little longer, but is more accurate, and only applies to this page
Create [N] snippets: accept the boxes as they are and create a snippet for each one
With Move to extraction set to Extract Immediately, tofie trusts its own suggestions: each page is cropped and extracted the moment it's uploaded, so there's no review screen in between.
If Auto draw snippet boxes with AI is off
The page is labeled Multiple documents instead, and tofie doesn't draw any boxes. Opening it shows:
Click Create Snippet to start, draw a box around the item, then click the checkmark to accept it.
Either way, once a snippet exists, what happens next still depends on Move to extraction:
Move to extraction | What happens after a snippet is created |
Hold for review | The snippet sits as a Pending extraction. Click the sparkle icon next to it in the Extractions panel to move it to processing, or delete it if you don't need it. |
Extract immediately | The snippet moves straight into processing. |
💡Tip: New to Auto Snippet? Start with Hold for Review so you can confirm tofie is drawing accurate boxes. Once you've seen it get your documents right consistently, switch to Extract Immediately so new uploads snip and extract on their own.
⚠️Note: A snippet can't be deleted from the Source Documents panel once it's created. With Extract Immediately on, each snippet is created and extracted in a single step, so it's worth confirming the boxes look right before relying on this setting.
Option 2: Snip a Page Yourself
Step 1: Open the Snippet Tool
When viewing a page with multiple receipts, look for the scissors icon
in the top toolbar. The tooltip reads "Snippet the page." This works whether Auto Snippet is on or off. If the page is already flagged for review, you can get here just as easily: click Review, then Draw Manually, or Create Snippet if it’s labeled Multiple documents.
Step 2: Select the Receipt Area
Click the scissors icon to activate the snippet tool
A selection box with draggable corner handles appears on the image
Position the box around the first receipt, and drag the handles to frame it precisely
💡 Tip: Make sure the entire receipt is inside the box, including all text and barcodes. Leave a small margin from the image edge for better accuracy, snipping right at the border can cause errors.
Step 3: Create More Snippets
Reposition the selection box to capture additional receipts
Create multiple snippets from the same source image
Drew a box in the wrong place?
Ctrl+Z(⌘+Zon Mac) orUndoremoves it, this works on every snippet box, including hand-drawn ones
Step 4: Review Your Snippets
Each snippet shows up in the Source Documents panel under the original page, and as a new extraction in the Extractions panel, linked back to the source image.
After Snippeting
However a snippet was created, manually or by AI, it becomes a separate extraction you can review and edit independently.
Accounting Sync Behavior
When a snippet's extraction is published or synced to accounting software, only the cropped receipt image is sent as the attachment, not the full multi-receipt photo. This keeps records in Xero, QuickBooks Online, and similar tools clean and correctly matched.
