How to invite other Members in Tofu and assigned them to the Entity

Bulk invite teammates, assign roles, and control access—all from one place.

Step 1: Navigate to Member Settings

  1. Open the Tofu app.

  2. Go to the Overview section.

  3. Click on Settings at the top.

  4. Select Members.


Step 2: Invite New Members

  1. Click Invite Members.

  2. Enter one or more email addresses (separate by commas or spaces).

  3. Choose the role for each invitee (see more about roles in Tofu)

  4. Assign the entities you want them to access.

    • Use the search bar to quickly find the right entity.

  5. Click Send Invite.

✅ The invitations will appear in the pending list, where you can resend or revoke them if needed.


💡 Alternative: Add Members from Entity Settings

You can also add members directly from an entity’s settings if you only want to grant access to a specific entity.

Who can do this?

  • Owners

  • Managers of the entity

How to add members from an entity:

  1. Open the Entity you want to manage.

  2. Go to Entity Settings.

  3. Select Members.

  4. Click Add Member.

  5. Enter the user’s email address.

  6. Assign their role for that entity.

  7. Click Add.

ℹ️ Note:
This method does not change the user’s access to other entities.


Step 3: Manage Member Roles and Access

  • For each member, you can see which entities they belong to.

  • If a member belongs to more than 3 entities, click +More to view the full list.

  • To update access:

    • Change their role

    • Add them to new entities with Add to Entity.

    • Revoke access by clicking the red Remove icon.


Step 4: Remove or Revoke Access

  • Revoke Pending Invitation: From the pending list, click Revoke to cancel an invite.

  • Remove Active Member: From the members list, click the Remove (red trash/bin icon) next to their name.


Step 5: Confirm Member Access

Once added, members can log in and immediately see the entities and permissions you assigned. They’ll receive an email with instructions to accept and set up their account.


🔑 Quick Tips

  • Use bulk invite when onboarding multiple teammates.

  • Assign Owner only to those who need full access across all entities.

  • Use Manager for day-to-day operations, and Viewer for read-only access.
