1. Understanding Tags in Tofu
Tags = Tracking categories (Xero) or Classes (QuickBooks Online)
Used to classify expenses
Tofu’s Tag selection logic:
If the vendor exists → looks at bill history
If vendor is new & no instructions → uses line item description to suggest a tag
If set in Knowledge Base → follows your saved instructions
2. Teaching & Saving Tagging Rules
Start a conversation with Tofie Assistant
Clearly instruct it to select the Tag (e.g., Region) based on the billed company’s address
Example prompt:
"Always select the Region tag based on the billed company’s address"Provide examples:
Europe → EMEA
USA → North America
Important: Use the prompt title "Tagging Rules for each line item"
Review the generated prompt, then save it to the Knowledge Base if correct
Check for conflicts with existing rules before saving
3. Re-extract the Data
If no conflicts, re-extract the document
Tofie will reprocess and apply the correct tracking category
4. Confirm the Selection
Verify that Tofie selected the correct category/region based on the address
